Import a bank statement, open a books line, and delete or void an invoice

A bank statement can be read into draft vouchers and checked against the books. Profit and balance opens each line in place. An unpaid invoice can be deleted, and one that was paid is voided so its number stays.

What changed

Bank statements. Under Banking, Bank statements takes a CSV, an Excel file or a PDF. Each line is dated, with money in, money out and a running balance. If the opening balance plus the movements does not meet the closing balance, the file is kept and draft vouchers wait until you accept the difference. The same line — the same bank, date, amount and reference — is not filed twice. Rent, salaries and bank charges are suggested when the description says so; anything else waits on a suspense account until you choose the real one. A bank’s opening balance, when the books start mid-year, is one amount on the opening voucher.

Profit and balance opens in place. On Books, each income, spending and balance line opens a drawer: the detail accounts, then the vouchers, with a link to the full ledger. A voucher line can be moved, split or renamed from there. A posted voucher stays as it was unless the business allows editing posted vouchers in place; otherwise the correction is a new voucher. Several lines can move together, which is how money sitting on suspense is filed.

Invoices can be deleted or voided. On Invoices, each row and the open invoice offer Delete when nothing has been paid and no posted voucher names it. The confirmation shows the number and the amount, and for a few seconds the toast can put it back. A payment, a cleared cheque or a posted voucher means Void instead: the number stays, a credit note or a reversing voucher takes the sale back, and draft vouchers and unpaid instalments are removed. The unit price is labelled in the business’s own currency. A post-dated cheque is offered on an instalment plan; the Sayad cheque stays on Iranian businesses.

How to use it

  1. Open Banking, then Bank statements. Choose the bank account, upload the file, check the suggestions and create the draft vouchers. Post them from Journal vouchers when they are right.
  2. Open Profit and balance. Click a line to see what it is made of, and move a line that landed on the wrong account.
  3. Open Invoices. Delete a clean invoice from its row or from the open invoice, or void one that already took money. Undo a delete from the toast while it is still up.

Good to know

  • Deleting or voiding an invoice needs an owner, an administrator or an accountant, and the year of the invoice has to be open to delete it. A closed year is voided instead, with the reversal dated today.
  • Editing the books, importing a statement and reclassifying a line need a seat that may change the books.
  • Accounts that were already on the chart are left as they are. Bank, cash, rent, salaries, bank charges, suspense and personal current accounts are added only when that code is missing.
  • The fixed accounts for customers, suppliers, expenses and unassigned money still do not take a detail account of their own. Use the new accounts when a person or a bank account needs one.
